Parts Operations Specialist and Warranty Advisor operates and manages all functions of the National Workshops Parts Department/Area. As well as additionally serve as the Service Advisor who is responsible for opening repair orders, managing estimates. reviewing and completing invoicing for repair orders; mostly warranty claims. This includes preparing, recording, reconciling claims and submitting them to the appropriate party. 

 

Key Responsibilities: 

  • Retrieves (pulls) purchased parts from inventory or if the requested parts are not in inventory determines availability, prepare parts requisition, and submit order as required.

  • Keeps accurate records of special-order parts.

  • Accurately price parts and accessories.

  • Establishes individual parts inventory levels and balances them for maximum turnover.

  • Set up orders for daily shipment, delivery, or pick-up.

  • Verify "will call" and "back-order" files weekly and return to vendors, or stock those items not required.

  • Receives and ships parts in accordance with company policies; hazmat and/or dangerous goods certifications.

  • Ensures all parts entering and exiting the Parts Department are accounted for and processed in accordance with company policies.

  • Maintains inventory on shelves and in bins by reporting items needing to be reordered, identifying any discrepancies in stock levels, and returning unsold items to stock.

  • Ensures that all parts are properly tagged so that the dealership recovers full credit from Warranty Parts Returns.

  • Follows up on customer concerns and complaints promptly (inter-departmental orders)

  • Completes all documents, forms and reports in accordance with company policy.

  • Process all claims within 48 hours of RO close date.

  • Manage and resolve all claim corrections and chargebacks.

  • Review every repair order written for proper completion, accuracy and legibility according to the policies and procedures.

  • Flag the technicians for the hours earned on the service they performed.

  • Provide a weekly report to the workshop supervisor regarding claim status.

  • Report any fraudulent manipulation of warranty claims and ensure vehicle is flagged in Warranty systems.

  • Conduct weekly audits of warranty and schedules, reviewing all old claims, and address any adjustments or write-offs.

  • Assist service consultants in closing all open warranty RO's.

  • Review and manage all aging schedules and reports.

  • Attend warranty training courses as needed.

  • Determining vehicle needs based on customer information, a vehicle walk-around and a technician’s multi-point inspection.

  • Producing repair orders for customers with full transparency including cost and time estimates

  • Communicating frequently with Technicians and Parts Associates to ensure timely completion of work.

  • Gaining superior product knowledge to effectively help customers with service maintenance requirements and warranty information.

 

Requirements:

  • High School Diploma or equivalent 

  • 3 years Parts Department Retails or warehouse inventory Control Experience 

 

Preferences: 

  • Experience in a BMW Parts Department 

  • Computer literate (Excel, Word, PowerPoint, general computer knowledge)

  • Ability to effectively communicate verbally and in writing

  • Ability to read and comprehend written instructions and information

  • Ability to confront and resolve difficult customer service situations

  • Demonstrated customer service skills

  • General knowledge of automotive parts and vehicle mechanical operations

The pay range for this role is: $41,600.00 - $66,800.00.

 

The selected candidate’s education, skills, experience, and location will be used to determine the final salary offer. All pay ranges are based on a full-time work schedule. This statement is in accordance with state and local pay disclosure requirements.
